CONROO - German Ports ID Integration

Information on the integration of Secure Release Order in the CONROO Mobile and Web Apps

1. What is a German Ports ID?

The German Ports ID is a new identifier used to manage container pick-up rights at German seaports. This ID will be required to authorize truckers to collect containers at German ports.

Important: If you don't operate at German seaports, this change will not affect your daily operations. The CONROO app will continue to work exactly as before for all supported locations.

2. What's Changing?

We're introducing German Ports Connections that allows truckers to work with multiple trucking companies while keeping their main (primary) company relationship intact.

Truckers can only be connected to ONE trucking company.

Truckers have ONE Primary Company and can add German Port Connections.

To use a different company's German Ports ID, truckers must change their primary company.

Truckers can use German Ports IDs from ALL their German Port Connections without changing anything.

3. Understanding Primary vs. German Ports Connections

Primary Company

This is your main trucking company — the same relationship to a trucking company you have today. There will be no changes here.

  • Can assign and remove your Gate Pass Licenses.

  • Can create and manage your bookings (Not relevant for German Seaports)

  • You can use their German Ports ID.

  • This relationship has no expiration date.

  • The trucker selects this company in the mobile app. (the trucking company has to accept the request in the Web App for this connection to be active.)

German Ports Connections

NEW: These are additional companies you can work with for German Ports operations.

  • You can use their German Ports ID for container pickups.

  • Cannot assign or remove your Gate Pass Licenses.

  • Cannot create or manage your bookings (not relevant for German Seaports).

  • The trucking company sets an expiration date for the German Ports Connections.

  • The trucking company sends a request — the trucker decides to accept or decline.

4. For Truckers: How to Use the New Feature

Receiving German Ports Connection Requests

When a trucking company wants to be connected with you:

  1. You will receive a push notification from your CONROO app.

  2. Open the CONROO app and go to your German Ports Connections screen.

  3. Review the request (you'll see the company name and expiration date)

  4. Tap Accept or Decline.

Good to Know:

  • You can have multiple German Ports Connections at the same time.

  • You can view the expiration date of each German Ports Connection.

  • You can remove a German Ports Connection at any time if you no longer need it.

  • Your primary company relationship stays exactly the same.

5. For Trucking Companies: How to Use the New Feature

Creating German Ports Connection Requests

To connect with a trucker who is not your primary employee:

  1. Go to User Management in your CONROO Web App.

  2. Click the Add German Ports Connection button.

  3. Search for the trucker by name or user ID.

  4. Set an expiration date for the connection.

  5. Send the request — the trucker will receive a notification.

Managing German Ports Connections

Once a trucker accepts your request:

  • They will appear in your User Management list with a "German Ports Connection" label.

  • You can update the expiration date at any time.

  • You can remove the connection when it's no longer needed.

What's New in User Management

Sidebar Details

When you click on a trucker in the list, the sidebar will show different options based on their status:

  • Primary truckers: Full details, existing features.

  • German Ports Connections: View details incl. CONROO user ID, edit expiration date, remove connection.

Filtering Tips:

Use the new filter options to quickly find truckers:

  • Filter by "Primary" to see only your employees.

  • Filter by "German Ports Connections" to see external truckers using your German Ports ID.

  • Filter by "Pending" to track outstanding connection requests.

6. Company Profile, German Ports Settings, and Registration

Trucking Company Registration

When you register your trucking company with CONROO:

  1. During sign-up, you'll provide your company's VAT ID.

  2. Each VAT ID can only be linked to one trucking company account.

  3. If you opt in for German Ports, we automatically retrieve all German Ports IDs (GPIDs) associated with your VAT ID.

  4. Your German Ports IDs will appear in your Company Profile once registration is complete.

Trucking companies can now manage their German Ports participation directly in the web app.

Company Information Page

Your Company Profile now includes:

  • Company Details (read-only): Name, email, address, VAT ID, German Ports IDs.

  • German Ports Toggle: Opt in or out of German Ports ID usage.

German Ports Toggle:

  • Turn ON: Your truckers can use German Ports IDs for container pickups at German Seaports.

  • Turn OFF: If you don't operate at German seaports, keep this off — nothing changes for you.

8. Frequently Asked Questions

Q: What happens if I have multiple GP-IDs?

A: All GPIDs linked to your VAT ID are automatically retrieved and stored in your CONROO account. Your truckers (both primary employees and German Ports Connections) can use any of these GPIDs for container pickups at German seaports. You can view all your GPIDs in the Company Information page.

Q: Do I need to use this feature if I don't work at German seaports?

A: No. If you don't operate at German seaports, you can continue using CONROO exactly as before. This feature is optional and only relevant for German port operations.

Q: Will this change my existing relationship with my primary company?

A: No. Your primary company relationship stays exactly the same. German Ports Connections are completely separate and additional.

Q: What happens when a German Ports Connection expires?

A: The connection will automatically become inactive. You won't be able to use that company's German Ports ID anymore until they send a new connection request.

Q: Can a trucking company see my bookings if I'm only connected with them as a German Ports Connection?

A: No. German Ports Connections can only see your basic profile information. They cannot view or manage your bookings — only your primary company has that access.

Q: How many companies can I be connected with?

A: There is no limit. You can have as many German Ports Connections as you need for your work.

Q: Can I decline a German Ports Connection request?

A: Yes, absolutely. You have full control over which companies you connect with. You can decline any request, and you can also remove existing German Ports Connections at any time.
